Guide to Faculty Submissions

Gather your project files

You will need the following three files in order to submit your work to Digital Collections. All files should be in PDF format unless the project is a video or audio file.

REQUIRED

1) Your finished project file.

2) A signed copy of a Deposit and Access Agreement form. You can download the form here: Deposit and Access Agreement form

Additional files that your project may have can also be uploaded. These files could be multimedia (video, photographs, or audio), to datasets, and/or presentation files. (OPTIONAL)

Submission form guide

Please note required fields are indicated in red however the more information you can provide the easier it will be for researchers to find your work.

Title The title of your work formatted in title case, all words are capitalized, except for minor words.

Example: The Quick Brown Fox Jumps over the Lazy Dog

Author & affiliation

Author name: Last Name, First name Middle name/initial

If your work has more than one author you can add additional authors by clicking the blue/green circle with a 'plus' sign.

Affiliation: Please chose 'Faculty' from the affiliation drop down menu.

Corporate authors(s)

If one of the authors of the submission is a corporation or group, use this field.

School & Department

You can search for the name of your department in the 'Department' field. Once you choose your department the 'School' field will automatically be filled in. (If your school or department does not appear on this list, please contact us).

Abstract

A brief overview of your project.

Language

The language in which your work was written.

Language (Local)

This field is used for languages not represented by the standard language field. Currently it is configured for works published in Cape Verdean Creole (Kriolu). If your work is published in a language that is not represented please contact us at digitalcollections@ric.edu or 401-456-8380.

Pagination

Optional, if you choose to include please format it as total number of pages follow by "p." Example for 45 pages: 45 p.

Keywords

Use the blue/green circle with the plus sign to add each additional keyword.

Subject

Use this field to link Library of Congress authorized subject headings to you project,. Please try to choose at least one. This helps link your work to similar works.

Note

If your publisher has a custom license or other rights statement please include this in the Notes field.

Type

Choose the appropriate type for your project from the drop down menu.

'Publisher'

If this article has been published, please include the publisher information here,

Completion/Publication Date

You can choose the date in which your project was completed from the pop up calendar, or type it manually in the follow format: YYYY-MM-DD

Example for January 15, 2025:

2025-01-15

Identifiers

If your submission has an ISBN or ISSN, please enter it into the appropriate field. If your publication has a DOI please enter it as Other Identifier and choose DOI for the Identifier Type.

Conference information

If you submission was part of a conference proceeding please include the appropriate information here.

Book or Journal Information

If your submission appeared in a book or journal please fill this section completely.

Usage statement

If your work has a Creative Commons license please choose the appropriate option from the drop down menu. If your publisher has a custom license or other rights statement please include this in the Notes field.

If you choose open access on the DAA form the license would be CC BY-NC-ND.

If you have an embargo or restricted access skip this section.

Drag and drop your required files and any additional files here.
